We process your data based on contractual necessity (to publish your work) and legitimate interest (to maintain the scientific record). Specific uses include:
- Managing your account, submissions, and editorial workflows.
- Conducting peer review (see section 4).
- Publishing accepted articles: Author metadata (Name, Affiliation, Email) will be made publicly available as part of the scholarly record.
- Registering DOIs with Crossref and metadata depositing.
- Processing Article Processing Charges (APCs) and waivers.
- Notifying you of journal updates (you may opt-out).
3. Information Sharing
Upon publication, author metadata becomes public and permanent. We share data with necessary third-party service providers, including:
- Crossref: For DOI registration and persistent linking.
- Indexing Services: Such as Google Scholar, DOAJ, and others for article visibility.
- Plagiarism Checkers: Manuscripts may be screened via Similarity Check tools.
We do not sell your personal data to third parties.
4. Peer Review Policy
For standard submissions, we maintain the confidentiality of reviewer identities. However, for articles participating in our Community Peer Review or Open Peer Review tracks, reviewer comments and identities may be published alongside the article or shared with authors in accordance with the specific section's policy.
5. Data Retention & The Scientific Record
Personal data associated with published articles (e.g., author names, affiliations) is retained permanently to ensure the integrity of the scientific record and cannot be removed, even upon request. Other personal data (e.g., inactive user accounts) will be retained only as long as necessary for our services.
6. Your Rights (GDPR/CCPA)
Subject to the limitations of the permanent scientific record mentioned above, you have the right to:
- Access, correct, or download your personal data.
- Request deletion of your account (excluding authorship data in published works).
- Object to processing for marketing purposes.
